We are seeking a proactive and professional Administrator to join our busy admin team in Orthoderm Private Clinic
Job description

We are seeking a proactive and professional Administrator to join our busy admin team. The successful candidate will be responsible for delivering an efficient, courteous, and high-quality administration and appointment service, supporting both clinical and operational teams.

Key Responsibilities:
Handle incoming calls, resolving queries promptly and professionally while ensuring accurate booking and record-keeping in line with clinic policies.
Proactively manage outbound calls, including appointment scheduling.
Communicate effectively with eg with medical personnel, patients, local trusts, GPs
Accurately record and respond to messages in a timely and professional manner.
Liaise with internal departments to ensure smooth clinic operations.
Prepare and manage clinic files, ensuring all relevant documentation is available.
Assist with patient recalls and contribute to the preparation of weekly Trust reports.
Type and process clinical correspondence from audio dictation, ensuring timely completion of follow-up actions.
Maintain effective filing systems.
Provide reception break cover daily.
Support private practice management functions as needed.
Work within our sister clinic (Hillsborough Private Clinic) as and when required
Job requirements
Essential Criteria:
Minimum of 1 years’ experience in an administrative or similar role
Excellent communication and interpersonal skills, both written and verbal.
Strong typing and general IT skills (including Microsoft Office)
Strong organisational skills
Excellent telephone manner and customer service skills
High attention to detail and ability to maintain accuracy
Ability to handle confidential and sensitive information with discretion.
Team player with the ability to work independently using their own initiative.
Flexible, can-do attitude with a willingness to support colleagues as needed
Able to work evenings/weekends as required
Desirable:
Experience working in a healthcare environment.
