Job description
Part of the Affidea group, Orthoderm Private Clinic is recognised as leading provider of expert care in a range of medical specialties in Northern Ireland. With teams of highly respected consultants and surgeons, the clinic is known for delivering exceptional patient care and clinical excellence.
We are currently recruiting for a Receptionist to join our dedicated administration team. As the first point of contact for patients and visitors, you will provide a warm, professional, and efficient reception service, along with key administrative support. This is an exciting opportunity for individuals with strong customer service skills who are organised, approachable, and interested in growing their career in healthcare administration.
Key Responsibilities:
Welcome patients and visitors, ensuring a friendly, helpful, and professional first impression.
Answer phone calls and emails promptly, responding to enquiries in an efficient and courteous manner.
Book patient appointments using the clinic’s practice management system, ensuring appointment details and patient records are accurate and up to date.
Maintain and update consultant diaries on the practice management system.
Handle customer queries professionally, providing information or directing them as appropriate.
Process customer payments accurately and in line with clinic procedures.
Sort and manage incoming and outgoing mail.
Ensure compliance with GDPR and data protection policies at all times.
Take responsibility for the upkeep and tidiness of the reception area.
Assist in setting up clinic rooms and organising refreshments as needed.
Provide support to the wider administration team, including cross-site cover as needed.
Job requirements
Essential Criteria:
Minimum 1 years’ experience in a customer-facing role.
Strong communication and interpersonal skills, both written and verbal.
Excellent customer service skills, with a confident and professional telephone manner.
Strong organisational skills.
Accurate and efficient keyboard and data entry skills.
Proficient in Microsoft Office (Word, Excel, Outlook).
Ability to handle confidential and sensitive information with discretion.
Team player with the ability to work independently using their own initiative.
Able to work evenings/weekends.
Desirable:
Experience working in a healthcare environment.
